The Billing Associate is responsible for managing project-based billing, ensuring accuracy and compliance with contract requirements. This role requires experience in the construction or skilled trades industry and a strong understanding of billing processes to support operations and finance.
Responsibilities
- Prepare, review, and issue project-based invoices, including progress billing, milestone billing, and approved change orders
- Ensure billing aligns with contract terms, job progress, and supporting documentation
- Coordinate closely with Project Managers, Operations, and Accounting to validate billing accuracy
- Maintain accurate and organized billing records within the company’s accounting/ERP system
- Assist with certified payroll reporting and documentation, including prevailing wage and union-related requirements
- Support compliance with union agreements, job cost tracking, and audit requirements
- Reconcile billing discrepancies and resolve invoice-related issues in a timely manner
- Generate billing, AR aging, and status reports for management review
- Assist with month-end close activities related to billing
Requirements
- 2+ years of experience in a billing-focused role
- Working knowledge of project-based accounting and billing
- Proficiency with accounting or ERP systems and Microsoft Excel
- Strong attention to detail, organization, and time-management skills
- Ability to manage multiple projects and deadlines simultaneously
- Clear and professional written and verbal communication skills
- High school diploma or equivalent
Qualifications
- High school diploma or equivalent required; Associate’s degree or higher preferred
- 2+ years of experience in a billing-focused role
Nice to Have
- Construction industry experience (e.g., construction, low-voltage, electrical, HVAC, or other skilled trades)
- Certified payroll experience
- Familiarity with union jobs, prevailing wage requirements, and job cost tracking
- Associate’s degree or higher
