About This Role

This Executive Assistant will provide high-level administrative support to a VP and Corporate VP, managing complex schedules, coordinating domestic and international travel, and handling confidential information for a company in Bellevue, WA. The role involves extensive communication and organizational tasks while supporting executive leadership.

Responsibilities

  • Plan, organize, and prioritize multiple assignments and projects with minimal direction
  • Manage scheduling for Executive leaders, including resolving conflicts and arranging meeting logistics
  • Maintain the Executive's itinerary and schedule with specific attention to detail
  • Prepare executive-level reports, compile data into comprehensible formats for communications
  • Make domestic and international travel and accommodation arrangements
  • Schedule and plan meetings and appointments for Executives and special visitors
  • Coordinate VIP visitor accommodations, special travel needs, and hotel arrangements
  • Perform word processing and prepare presentations, spreadsheets, correspondence, contracts, memos, and reports
  • Process expense reports in a timely manner, ensuring accuracy of expense allocations and budgeting
  • Handle various tasks such as managing office supplies, organizing department events, and maintaining offices
  • Supervise general office duties: ordering supplies, maintaining records, basic bookkeeping
  • Manage an extremely active calendar of appointments; prioritize meeting requests and handle conflicts proactively
  • Assist with staff on-boarding and off-boarding, including equipment setup and system access

Requirements

  • At least 5-7 years of administrative experience supporting VP level executives and staff
  • Experience developing executive presentations using Microsoft Word, Excel, and PowerPoint
  • Ability to handle highly confidential and sensitive materials and issues
  • Strong verbal and written communication skills
  • Operational excellence (execution and organization)

Qualifications

  • Bachelor degree or equivalent work experience
  • At least 5-7 years of administrative experience, with 8 years supporting VP level executives and staff preferred.
