About This Role

Provide independent administrative and supervisory office support to the Asset Management group, primarily using Cityworks software for work order management and data support for Facilities Operations. This role also assists with electronic device management, fixed asset inventory, and surplus property operations.

Responsibilities

  • Serve as key departmental user of Cityworks system, assisting with user support and identifying process improvements
  • Create work orders to track contracted services in Cityworks
  • Coordinate with Department operational staff to track status and completion of contracted services work orders in Cityworks
  • Create and manage training documents for Cityworks training
  • Assist with development and delivery of training materials and user support sessions for Cityworks and other work management software
  • Support employee onboarding/offboarding and other digital maintenance activities
  • Identify routine operational or process issues and communicate findings to supervisor
  • Provide guidance and assistance to staff regarding established procedures and review work for completeness and accuracy
  • Maintain Department SharePoint websites for program information storage and communication
  • Prepare or assist with documents, claims, department paperwork, requisitions, purchases, and related records
  • Facilitate information sharing between departments for data collection, organization, and presentation
  • Act as a liaison with municipalities, other departments, and staff
  • Coordinate and attend meetings
  • Maintain department resources and supplies
  • Provide information on department policies, procedures, and operations
  • Operate computer and perform data processing functions including using available software packages
  • Assist with departmental fixed asset inventory tracking, electronic device management, and record keeping

Requirements

  • Three (3) years of clerical experience preparing, processing, and maintaining administrative records OR Associate’s degree in a related field plus one (1) year of experience
  • Knowledge of Microsoft Excel, Word, PowerPoint
  • Knowledge of business English, spelling, punctuation, and arithmetic
  • Knowledge of modern office methods, practices, and procedures
  • Knowledge of modern recordkeeping practices
  • Skill in the operation of a computer/keyboard

Qualifications

  • Associate’s degree in a related field
  • Three (3) years of clerical experience preparing, processing, and maintaining administrative records; or an Associate’s degree in a related field plus one (1) year of experience preparing, processing, and maintaining administrative records

Nice to Have

  • Ability to become highly proficient user of Cityworks software
  • Ability to gain knowledge of asset management principles, practices, and related standards
