Provide administrative and travel support to UNDP and other UN agencies. This role involves managing office operations, coordinating staff travel, and ensuring compliance with organizational policies.
Responsibilities
- Assist in the day-to-day administrative tasks for efficient office operation.
- Maintain and organize physical and electronic files.
- Prepare, draft, and format routine correspondence and official documents.
- Manage office supplies, coordinate procurement requests, and ensure adequate inventory.
- Liaise with internal and external stakeholders including suppliers and vendors.
- Assist in organizing meetings, workshops, and events.
- Support office-wide communication.
- Coordinate staff travel (domestic and international).
- Arrange flight bookings, accommodation, transportation, and visa processing.
- Generate travel itineraries and ensure compliance with travel authorization requirements.
- Process Travel Claims (advances, reimbursements) and liaise for approvals and payments.
- Maintain accurate records of staff travel and stay updated on advisories.
Requirements
- Minimum 4 years of administrative and programme support experience (with secondary education) or 1 year (with bachelor's degree)
- Experience in the usage of computers and office software packages (MS Word, Excel, etc).
- Advanced knowledge of spreadsheet and database packages.
- Experience in handling of web-based management systems.
- Fluency in both English and Arabic languages.
Qualifications
- Secondary Education preferably with specialized certification in Administration, Accounting or Finance OR First-level university degree (bachelor’s degree or equivalent) in Business or Public Administration, Economics, Political Sciences, Social Sciences, or related field
- At least 4 years of relevant administrative and programme support experience at the national or international level with secondary education OR 1 year with bachelor’s degree.
Nice to Have
- Knowledge of the UN system, Rules and regulations, and familiarity with UNDP procedures.
- Previous experience with international (public or private sector) organizations.
- Knowledge of Protocol correspondences and Travel Procedures.
- Experience in workshop or training planning and organizing.
- Ability to drive and travel within Jerusalem and West Bank.
